This guide applies to accounts that have a reference framework called "EcoVadis Questionnaire" (see screenshot below). ⬇️
If your active framework is "EcoVadis" and not "EcoVadis Questionnaire", please follow these submission guides instead:
Start your EcoVadis Submission
Once all your documents are validated on Ditto, you're ready to submit your assessment.
We recommend starting at least 5 days before the deadline.
Plan for half a day to complete your questionnaire.
Your Ditto coach will ensure that all documents are linked to the correct sections.
Go to the “Frameworks” tab and click on the project.
In this case: Headquarters, 2025.
Questionnaire Name
If the questionnaire is called “EcoVadis Questionnaire”, this is your currently open questionnaire on EcoVadis.
If the questionnaire is called “EcoVadis Questionnaire 2024”, that’s your 2024 questionnaire.
In this case, open the questionnaire and inform your coach so they can update your Ditto account.
The questionnaire on Ditto mirrors the exact questions from your EcoVadis questionnaire.
1 – Export your supporting documents from Ditto
Step 1
Ensure all documents you want to upload to EcoVadis are validated.
Step 2
Ask the AI to suggest answers.
Step 3
Review the suggested answers and check their accuracy and relevance.
Step 4
Export the supporting documents from Ditto.
Click on Export → Export all evidence files.
⚠️ This export only includes the elements suggested by the AI – it is likely that some documents will be missing. ⚠️
To make sure you don’t forget any useful document for EcoVadis: check that all the measures identified as priorities for the assessment by your coach are included in the export.
If they are not, you can download them directly from the measure’s tab.
If you want to export all the documents validated in Ditto: go to the My files tab, then click on the button below.
Go to the “My files” tab, then click the button shown below.
Step 5
Begin completing your EcoVadis questionnaire.
2 – Complete your EcoVadis Questionnaire
Open your questionnaire
Log in to your EcoVadis account, go to your dashboard, and click “Access my questionnaire”.
If your questionnaire is not open yet, click here.
Upload all your documents to the document library
Click on “Document Library” > bottom right corner > “Upload from computer”
Upload all documents exported from Ditto
Add name, language, and document type
Choose whether to make the document public (visible to partners) or private
If you’ve been assessed before, your library may already contain documents.
You can leave them unless they are expired (in which case a red warning will appear — delete these).
Link documents to each questionnaire section
From the library, return to the questionnaire.
1. Policies
For all policy sections in EcoVadis:
Check the relevant policy item
Link from the document library:
a. Click on your Ditto policy document
b. Indicate the page number that contains the quantitative objectives for the sub-topic
c. Add a comment: “Quantitative objectives – [sub-topic]”Repeat for each sub-topic
Save
Example:
Social and Human Rights Policies
Employee Health & Safety → Attach from library → Social Policy → Enter page number + comment “Quantitative objectives – health & safety”
Working Conditions → Attach from library → Social Policy → Enter page number + comment “Quantitative objectives – working conditions”
⚠️ Only policy documents should be attached in the policy sections — no other types of documents.
2. Actions/Measures
You must attach all relevant action/measure documents.
⚠️ Documents must be linked to the correct questions to be valid as evidence.
For each question, add all documents that relate to the topic.
Example: Promoting Internal Mobility
If both your Employee Handbook and Career Management Procedure mention internal mobility, both should be added to the relevant question.
If the Employee Handbook is relevant to other questions as well, attach it there too.
✅ Always save after completing a sub-topic.
Some specific documents may not appear in suggested attachments but can still be valid – your coach will verify them.
Steps:
Go back to the EcoVadis questionnaire
Check a measure item
Attach from the document library
Select the document
Save
3. Reporting
Check a reporting item.
Three possible cases:
You need to enter a number only
You need to enter a number and attach a tracking document
You only need to attach the document
Steps:
Attach from the document library → your reporting spreadsheet
Enter the page number where the information appears
Save
For more detail on these steps: see our second guide.
3 – Ask your coach to review before submission
We recommend you fill out one theme first, then inform your coach.
They will check that documents are correctly placed and let you know if anything needs adjusting.
Once that’s done, complete the remaining three themes.
Inform your coach again — they will review the full questionnaire and let you know of any final edits needed.
Once you get their green light ✅, you’re ready to submit your questionnaire to EcoVadis.
⚠️ Note: You are responsible for validating your questionnaire and meeting the submission deadline.
4 – Submit and await your results
Evaluation timelines vary significantly:
For XS companies, results may come in 1 week
For S, M, L companies, it can take 6 to 8 weeks
